Wanted - Full Time Office Administrator for Larnaca office
Duties and Responsibilities
The Office Administrator will be a self starter who is highly motivated and hard working with excellent communication skills. This role will demand flexibility and resourcefulness. A banking background would be beneficial, although having worked in an international company is key. Full training will be provided but previous office experience is essential. Ideally the candidate will have worked in a dynamic fast moving office environment for at least 2 years.
Specific Duties
•Full understanding of telephone system to answer calls, set up conference calls and deal with voicemails along with taking messages
•Meticulous management of internal filing system – both daily and weekly
•Arrangement of meetings with various parties and diary co-ordination
•Attending to refreshments for internal and external clients / colleagues, keeping stock control of supplies
•Ensuring kitchen and office is always kept tidy, as well as managing bi-weekly cleaner
•Receiving and distribution of mail, preparing outgoing mail for couriers etc., whilst maintaining sufficient stamps and courier supplies
•Typing various letters, forms, MUST HAVE Excel knowledge and Power point skills - this will demand good typing speeds
•Responsibility for stationery cupboard and purchase of office supplies; ie. stationary, refreshments, computer consumables along with kitchen and bathroom supplies
•Organisation of internal lunches as necessary
•Dealing with all petty cash requirements via Group Administrator
•Arranging travel bookings for inbound and outbound business trips for all staff, along with relationship building with company appointed travel agent
•Daily distribution of company cards globally including controlling card stock and preparing daily scanned card spreadsheet for sign off
oEnsuring stock control of consumables
•User testing on company websites
•Assisting the Group Administrator at month end with reconciliation of office expenditure and Merchant billing and invoicing
•Excellent command of both English and Greek languages written and verbal
